Configuration of a workflow

How can I configure a workflow / approval process?

Create workflow template

Open the tab Your company / App settings / General / Workflow / Workflow Draft. 

Clicking on "Create workflow template" opens the view

Name
Choose a title that lets you know which process is to be approved.

Description
This is optional. Add any other information that is useful to you.

Object
Select the type of workflow (e.g. leave request, target agreement, publishing a job, Document etc.)

Trigger 
Select which action will trigger the workflow / approval process. You can choose between the following options: 

  • Add = The workflow becomes active as soon as an employee creates and submits a new leave request, for example.

  • Edit = The workflow becomes active as soon as an employee edits an existing leave request, for example.

  • Delete = The workflow becomes active as soon as an employee deletes an existing leave request, for example.

  • Publish (only for Job unit) = The workflow becomes active as soon as a job is to be published.

  • Complete intermediate phase / Final intermediate phase (only for unit Target agreement) = The workflow becomes active as soon as an intermediate phase of a target agreement is to be completed.

Restrict to clients
Select a client here to which the workflow should refer. If no client is selected, the workflow refers to all clients. Only one workflow can be created per client for the same entity and trigger.

Absence accounts (appears when the "Absence request" unit is selected)
Specify which absence account they want to set a workflow/approval process for. 

Document type (appears when the Document unit is selected)
Specify which document type you want to set a workflow/approval process for.

Disable workflow for:
Here you can set the administrator as an exception for workflows. This will skip the default workflow for all items triggered by the administrator except his own. 

Event details
You can add several workflow details using the + sign

Type
Choose between the following options:

  • "Notification" (a notification is triggered in the tool, the request immediately receives the status "Approved").

  • "Approval" (a notification is triggered in the tool, the request remains on status "Pending" until the target person has confirmed the request) 

  • "Dynamic Approval" (same as "Approval", but the requester can select the target person when submitting the request).
